Managing Shares and Access Control
Learn how to manage shared folders, control access levels, view shares, and terminate access when needed.
Note: You can manage shares from both my.pCloud and pCloud Drive Preferences.
Creating a New Share
To create a new share in pCloud Drive:
- Open your pCloud Drive file directory
- Right-click on a folder
- Select Share from the context menu
- Choose your sharing method:
- Share Link: Copies a generated link to the clipboard for direct sharing
- Invite to Folder: Opens the Shares tab in pCloud Drive to enter email addresses of people you want to grant access to
Viewing Your Shares
See all folders you've shared with others:
From pCloud Drive
- Double-click on the pCloud Drive icon to open Preferences
- Go to the Shares tab
- Select My shares subtab
- View all folders you've shared with other users
From my.pCloud
- Open my.pCloud and log in
- Go to Shared > Folders in the left menu
- View your shared folders
Viewing Folders Shared With You
Access folders that others have shared with you:
- Open the Preferences menu in pCloud Drive or my.pCloud
- Go to Shares > Shared With Me
- View folders shared to you by other users
- See the access rights you have for each share
Changing Access Levels
Modify the access level for a folder you've shared with another pCloud user:
- Open the Preferences menu and go to Shares > My shares
- Find the folder in question and click Manage Access
- A list with all people who have access will appear
- Update the access level for a particular user
- The change will apply immediately
Available Access Levels
- View: Allows members to preview and download files
- Edit: Allows invited members to view, add, modify, and delete files
- Manage: Allows invited members to edit and reshare files (Business only)
Important: The access level you select applies to all subfolders and files in the shared folder.
Modifying Share Properties
To modify the properties of your shares:
Requirement: The user with whom you have shared your data needs to have accepted your share request before you can modify properties.
Once the invitation is accepted, you can:
- Change access levels
- Add or remove users
- Revoke access
- View share settings
Terminating Access
There are two scenarios for terminating share access:
Terminating Others' Access to Your Folder
- Go to Shares > My shares
- Find the folder you want to stop sharing
- Click Manage
- Remove specific users or revoke all access
Terminating Your Access to a Folder Shared With You
- Go to Shares > Shared With Me
- View folders shared with you by other users
- See the rights you have for those shares
- Click the Cancel button to the right of a share
- Your access will be terminated immediately
Share Limits and Restrictions
Understanding the limits helps you plan your collaboration strategy.
Daily Sharing Limits
- Free and Premium plans: Share folders up to 150 times per day
- Business plans: Unlimited folder sharing every day
Folder Size Limits
- Basic accounts: Can share folders with up to 25,000 subfolders or 150,000 files
- Premium/Business accounts: Can share folders with up to 50,000 subfolders or 300,000 files
Note: If a Premium/Business user shares a folder with a Basic user, the limits for Basic accounts apply.
Storage Space Considerations
When someone shares a folder with you:
Shared Folders Don't Count Against Your Quota
- When you're invited to a folder, it doesn't take space from your account
- Only the folder owner's storage quota is affected
- You can upload to shared folders without using your own space
Copying Files to Your Account
- If you copy files from a shared folder to your own folders, those copies WILL count toward your storage
- Files remain in the shared folder and are also saved to your account
Notifications for Shared Folders
Stay informed about changes in your shared folders:
- EU accounts: Receive pCloud notifications when someone deletes files from folders shared via "Invite to Folder," including the email of the user who deleted the file
- US accounts: Currently do not receive notifications when changes are made in shared folders
Is There a Size Limit for Shared Folders?
Shared folders follow the same size limits as your account plan:
- Limited by your total storage quota
- No additional size limit beyond your plan's storage
- Constrained by the file and subfolder count limits mentioned above
Managing Shares from pCloud Drive
The pCloud Drive context menu provides quick access to sharing options:
Share Option
- Right-click on a folder
- Choose Share
- Select sharing method (Share Link or Invite to Folder)
