Team Collaboration and File Sharing for Business Users

Learn how to collaborate effectively with pCloud Business - manage teams, invite users, and control sharing permissions for your organization.

Inviting Users to Business Account

To add users to your business account:

  1. Go to the Users section of your business account
  2. Click the "Add User" button (top left corner of the central section)
  3. Enter their email address
  4. Set Storage quota – Choose how much storage each user will receive when they join your Business account. You can adjust the quota in steps of at least 100 GB. You can change it later at any time.
  5. Add an optional message
  6. Click Add to send your invitation

Note: Only business account owners and users with Account Management permissions can invite users to a business account.

Managing Teams

Organize your users into teams for better collaboration and permission management.

Creating Teams

Teams allow you to organize users and control access to shared resources:

  • Create teams based on departments, projects, or functions
  • Assign users to multiple teams
  • Set team-specific permissions

Inviting Users to Teams

  1. Go to the Teams section
  2. Select the team you want to add users to
  3. Click Invite users to team. If needed, create a new team with the button "Create new team" (top left)
  4. Click "Add users to team"
  5. Enter names or email addresses of existing business account users
  6. Click "Add" button - the users will be automatically added to the team and will receive a notification

Viewing and Filtering Users

The Users section displays all users in your business account:

  • Name/email address: User's full name or email address
  • Quota: used storage / assigned storage
  • Status: Invited / Active / Deactivated
  • Last Activity: When the user was last active

        

User Information Displayed for each user separately

  • Name: User's full name
  • Email Address: User's email
  • Position
  • Storage: used storage vs assigned storage
  • Registration: date and time of registration
  • Last Activity: When the user was last active
  • Membership: Teams the user belongs to


Filtering Users

Filter users to find specific team members:

  • Filter by Permissions
  • Filter by Teams
  • Filter by Status - deleted users only

User Permissions and Access Control

Control what users can do within your business account.


Account Management Permission

When set to Enabled, Account Management gives users the right to:

  • Modify account information and global settings
  • Modify subscription plan and quota


User Management Permission

A user with User Management permissions can modify user profiles, manage user account statuses, and reset passwords.


Team Management Permission

A user with Team Management permissions can create teams, edit team details, manage memberships, and adjust team permissions.


Billing Management Permission

A user with Billing Management permission can modify Business account invoice data, manage billing, and adjust subscription and storage parameters.


Collaboration Levels

Modify the collaboration level within your company to control how teams work together.

Access Permissions for Shared Folders

When you invite Business users to join your folders using "Shared Folders," you can manage their permissions:

  • View: Users can only view and download files
  • Edit: Users can view, add, modify, and delete files
  • Manage: Users can modify folder permissions, invite additional users, or revoke access from existing users


Team Folders and Shared Folders

Organize collaborative work with team-specific folders:

  • Create folders dedicated to specific teams or projects
  • Set appropriate access levels for team members
  • Control who can view, edit, or manage shared content


Best Practice

Organize users into teams based on projects or departments, and use the "Manage" permission level sparingly - only for team leaders who need to control folder access.


Real-Time Collaboration Limitations

Important to understand:

Note: pCloud doesn't support real-time collaboration on documents. Multiple people can't work on the same file simultaneously.

  • If multiple users try to edit the same file at once, a conflicted file will be created
  • Coordinate with your team to avoid editing the same file at the same time
